responsibilities
the backoffice ford champ is a key role responsible for ensuring operational efficiency, regulatory compliance, and proper information management. This position involves coordinating administrative activities, communicating with suppliers, implementing processes, and collaborating with various departments to ensure the optimal functioning of daily operations.
what you'll do:
* information and documentation management:
o maintain accuracy and update ges specialized services database.
o update and manage supplier’s commercial and legal documentation for annual orders renewal, including service level agreements and non-disclosure agreements.
o update and manage legal documentation for it loan agreements renewal.
o support it requirements from the specialized services ges operational perspective.
* supplier coordination:
o coordinate with ges suppliers for the organization, logistics and execution of the engineering techshow, ensuring compliance with event objectives.
o serve as the primary point of contact to answer faqs from suppliers about ges operations
* compliance and internal control:
o comply 100% repse requirements for the ges operations aligning ges suppliers and ford project leaders knowledge to have compliance with regulations.
o coordinate all matters related to:
* internal control applicable to ges (control testing, job descriptions, afr process, drim, and unauthorized commitments prevention, etc)
* implement strategies to reduce compliance events around ges specialized services relative to "speak up" reports, leaks of information prevention, and compliance with ford policies, etc.
* headcount control & support to hr:
o implement and collaborate in the coordination and solution of all matters related
* ford hiring process in which ges specialized services participates, ensuring compliance with procedures and proper documentation management.
* work during vacations, official holidays, and the year-end shutdown strategy, ensuring business continuity.
* communication and events:
o implement and collaborate in the coordination and solution of all matters related to
* official ges internal communication and communication with suppliers, ensuring transparency and efficiency in information transmission.
* actively participate and support business innovation office events, contributing to the promotion of innovation and continuous improvement.
* it asset and access management:
o implement and collaborate in the coordination and solution of all matters related to:
* ford systems and computers for ges specialized services (it computer census, damage management, and theft reporting process, etc)
* onboarding and termination process for ges specialized services (resource management and documentation)
* authorize access to the gtbc facilities, ensuring security and compliance with access policies.
qualifications
* active student from any of the last 4 semesters of engineering
* 90% english skills (oral, reading, writing, and listening)
* solid knowledge of administrative and document management processes.
* proficiency in database management tools and spreadsheets (advanced excel).
* knowledge of purchasing and supplier management processes (desirable).
* familiarity with access management and information security systems (desirable)
* basic knowledge of compliance and internal control regulations (desirable)
