Factory administrative assistant / receptionist - roll forming & export operations
*position summary (executive view)*:
this position plays a critical role in supporting the smooth operation of a roll-forming manufacturing facility with an international export focus. The role combines front-desk duties with administrative, logistics, and compliance responsibilities, serving as the first point of contact for visitors, suppliers, and clients. It ensures accurate documentation, assists in coordinating production and shipment schedules, and supports management in both domestic and international operations. *full fluency in english and spanish (verbal and written) is mandatory* to facilitate communication with local staff, global suppliers, freight forwarders, and international customers.
*main responsibilities*:
*operational coordination*
- welcome and manage visitors, suppliers, and clients, ensuring proper security and sign-in procedures.
- act as a central communication link between production teams, suppliers, logistics partners, and management.
- assist in scheduling production runs and coordinating with export and logistics departments for on-time shipments.
*administrative & compliance support*
- maintain organized records of purchase orders, invoices, bills of lading, certificates of origin, customs declarations, and export compliance documents.
- assist in preparing documentation for immex, customs brokers, and government agencies.
- support hr with interview scheduling, onboarding, and employee file management.
*management & logistics assistance*
- prepare operational and export status reports for executive review.
- coordinate meeting schedules, travel arrangements, and visits from international partners.
- track incoming and outgoing shipments, liaising with freight forwarders, carriers, and customs agents.
*cost control & efficiency*
- monitor and manage office, shipping, and operational supply inventories to optimize expenses.
- ensure all documentation meets legal, customs, safety, and quality control requirements.
*key competencies*:
- *full fluency in english and spanish (oral and written) is mandatory.*:
- experience in manufacturing or export-related administrative roles (roll-forming, steel, or construction materials preferred).
- strong organizational skills with the ability to manage multiple deadlines across departments.
- knowledge of microsoft office suite and basic erp/logistics software.
- high attention to detail with accuracy in documentation, particularly for customs and export compliance.
- professional communication skills to interact with local and international stakeholders.
pay: $10,000.00 - $18,000.00 per month
