admin in this role involves supporting service portfolio managers, site operation managers and lead techs by handling routine administrative tasks, so they can stay focused on operations. This includes handling technician and contractor training records, supervising certification expiries, and coordinating refresher courses. The admin also maintains the project sharepoint site—handling access, structure, and archiving. *how you’ll make an impact*
- procurement and vendor coordination. Handle purchasing through ariba for both goods and services, including sourcing from vendors, comparing quotes, and handling framework pos. Ensure timely and cost effective acquisition of materials such as tooling and consumables to support field operations.
- site operations support. Oversee site inspection logistics by collecting quotes, raising pos, and ensuring all documentation is properly filed and archived. Maintain accurate records of completed work and support with updating project systems like p6 and v
- service order and notification management. Raise, track, and close out service orders for daily operations in sap notifications. Resolve rejected jobs, amend or correct time bookings, and ensure all hours and service records are accurate and up to date.
- inventory and parts coordination. Reserve parts and service kits needed for site activities, track goods received, and support the gr process through ariba. Support alignment between physical inventory and project documentation.
- training and personnel administration. Coordinate training bookings, maintain certification records, and ensure governance compliance. Support vacation planning, new employee onboarding.
- documentation and workflow support. Assist site staff by preparing required document packs, handling document access through fluix workflows, and organizing all administrative outputs in line with company procedures. Support expenditure control by ensuring documentation is accurate and complete.

*what you bring*
- bachelor’s degree with a minimum of 4 years of relevant experience
- 3-4 years of hands-on administrative support, ideally in a technical or operational environment
- bilingual in spanish and english, with strong written and verbal communication in both
- solid understanding of sap transactions, including purchase orders, goods receipt, and service orders
- proficient in excel for tracking, reporting, and data analysis
- comfortable using powerpoint to create and update team or project presentations

we handle 7 wind projects spread across texas and nebraska, covering a combined total of 335 turbines. The team includes 1 service portfolio manager, 3 site operations managers, and 7 lead technicians who work together to keep these sites running safely and efficiently. Like most large scale wind operations, we face ongoing challenge from leading parts and vendors to handling site inspections, technician scheduling, and training compliance. Our focus needs to stay on the field and keeping turbines online, which is why having dedicated administrative support is so relevant. An admin in this role would play a key part in reducing the administrative load on the spms, soms, and site leads by handling procurement, service orders, training records, documentation workflows, and other daily tasks that often pull the team away from core operations. Having someone focused on these responsibilities will not only improve efficiency but also help keep things organized and running smoothly behind the scenes.
