The Trade Compliance Specialist will be primarily responsible for the accurate and timely collection of Certificates of Origin (COO) for all direct raw material part numbers used by the company. This includes designing, implementing, and continuously improving the processes and workflows to ensure that COO documents are collected for new part numbers as they are introduced.
A key responsibility will also be to conduct an annual review towards the end of each calendar year, ensuring all active part numbers have up-to-date COO certificates secured for the upcoming year to maintain compliance with international trade regulations.
The incumbent will work closely with the procurement team, specifically escalating any issues related to non-compliant or unresponsive suppliers to the appropriate buyer or category manager to ensure timely resolution. Maintaining open communication channels and proactive follow-ups with suppliers and internal stakeholders is essential.
Additionally, the role includes maintaining a detailed progress report and organized filing system with all relevant COO documentation, ensuring documents are readily accessible for audits or internal reviews at any time.
Key Responsibilities:
- Design and execute effective processes for COO collection on new and existing part numbers.
- Coordinate cross-functionally with procurement, customs, operations, engineering, and sales to ensure smooth and timely COO management.
- Manage supplier relationships to resolve non-compliance and ensure adherence to COO requirements.
- Maintain updated records and documentation, ensuring compliance with regulatory standards.
- Prepare regular reports on COO status, highlighting areas of concern or delays.
- Identify and recommend process improvements to streamline COO collection and documentation workflows.
Required Skills and Competencies:
- Communication: Excellent verbal and written communication skills in both English and Spanish, with the ability to clearly convey requirements and follow up with suppliers and internal teams.
- Collaboration & Cross-functional Coordination: Proven ability to work effectively across multiple departments and with external suppliers, fostering cooperation and alignment on objectives.
- Process Improvement: Strong analytical mindset to identify inefficiencies and implement best practices for continuous process optimization.
- Technical Proficiency: Advanced skills in Microsoft Excel and Outlook are essential. Experience with programming macros or other automation tools is highly desirable to increase efficiency and reduce manual tasks.
- Attention to Detail: Meticulous in document handling and record keeping to ensure data integrity and compliance readiness.
