we are looking for a highly organized, proactive, and detail-oriented *administrative support specialist* to support day-to-day business operations, strengthen internal coordination, and enhance communication with clients and suppliers.
this role requires strong analytical skills, discretion, and advanced english proficiency.
*key responsibilities*
*administrative & communication support*
- maintain employee records and support administrative processes, ensuring accuracy and compliance.
- prepare clear reports, presentations, tables, and graphs for internal and management use.
- handle sensitive and confidential information with integrity.
*procurement & operations support*
- assist in supplier sourcing, quotation requests, negotiations, and purchasing processes.
- coordinate payments, freight cost evaluations, and product delivery follow-ups according to location and deadlines.
- prepare weekly and monthly reports (e.g., quotations, pos, deliveries, pre-closings, and invoicing).
*data & document management*
- ensure accurate data entry into internal systems with speed and precision.
- perform document control, filing, and archiving in both physical and digital formats.
- keep the workspace organized and ensure proper equipment and resource management.
*education*:
bachelor's degree in administration, international business, languages, or a related field.
*experience*:
3-5 years in administrative roles with *proven advanced english (c1)* in both written and verbal communication.
*technical skills*:
- strong proficiency in *microsoft office (excel, word, powerpoint)*:
- experience with internal platforms, filing systems, and basic procurement or logistics processes
- ability to create professional reports, data visualizations, and presentations
