Executive assistant

you will serve as the primary point of contact for internal and external communications on all matters pertaining to the office of these c-levels. You will also act as a liaison to the board of directors and senior management teams, organize and coordinate executive outreach and external relations efforts and oversee special projects.


responsibilities

* complete a broad variety of administrative tasks for the cro/cfo including: managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas.
* provide a bridge for smooth communication between the cro/cfo and internal departments. Manage cro/cfo travel budgets & maintain a monthly log of all expenses and allocations.
* coordinate and manage the company's participation in all global external conferences; ticket purchases; accommodation & flight management.
* coordinate and manage internal monthly management meetings, global quarterly kiks and k2s annual employee reward trip; sourcing venues; compiling agendas/ activities; arranging accommodation; flight management & all clerical needs.
* assist the extended k2 executive team, including the chief people officer.
* format information for internal and external communication - memos, emails, presentations & reports.
* conduct research, collect and analyse data to prepare reports and documents.
* negotiate company rates with suppliers and maintain supplier relationships.
* devise and maintain filing systems.
* record, transcribe and distribute minutes of monthly investor board meetings.
* review operating practices and implement improvements where necessary.
* 5% attend to any miscellaneous office / business needs. (office furniture removals, clerical needs, parking licenses, supplies)
* 5% private pa duties. (private house management)
* maintains discretion and confidentiality in relationships with all board/executive team members.


required

* proven work experience as a senior executive assistant, executive administrative assistant or similar role.
* experience working with / for a c-level or hnw individual.
* expert level written and verbal communication skills.
* demonstrate proactive approaches to problem-solving with strong decision-making capability.
* ability to work autonomously and within strict deadlines, to high standards with fastidious accuracy and attention to detail.
* self-awareness and accountability are essential.
* a high degree of maturity, self-confidence and strong interpersonal skills.
* excellent at forging relationships across all levels of the business and with customers.
* ability to work out of hours at short notice and across multi-time zones.
* solid it skills are required, particularly word, excel, powerpoint and knowledge of working on gdocs with accuracy, speed and an ability to 'get things done' are vital.
