position overview
the equipment rental & procurement coordinator is responsible for sourcing and managing third‑party rental equipment to support project and show requirements. This role works closely with project managers, vendors, operations teams, and accounting to ensure equipment is secured on time, at competitive pricing, and with accurate documentation.
This position requires strong organizational skills, vendor coordination experience, cost analysis capabilities, and the ability to manage multiple priorities in a deadline‑driven environment.
Key responsibilities
cross rental procurement

review incoming equipment requests from assigned shops and projects
evaluate whether items should be cross‑rented or purchased
source equipment from approved vendors and negotiate competitive pricing
provide cost options and shipping estimates within established timelines
confirm pricing, terms, and logistics details in writing before placing orders

vendor & order management

maintain accurate and up‑to‑date vendor records, billing details, and documentation
assist in setting up new vendors, including tax and insurance documentation
monitor long‑term rentals and issue purchase orders as needed
reconcile rental return dates and address discrepancies

equipment issue resolution

manage cases involving missing, damaged, or incomplete equipment
coordinate replacements directly with vendors
collaborate with project managers and warehouse teams to resolve discrepancies
support issuance of purchase orders for damaged or missing equipment upon approval

financial & accounting support

partner with the accounting team to resolve invoice inquiries
ensure cross‑rental invoices are properly approved and allocated
support cost tracking and financial accuracy of rental transactions

systems & data management

maintain accurate data within internal databases
coordinate updates to replacement cost data and vendor information
ensure overall data integrity across systems

qualifications

bachelor’s degree preferred in business, supply chain, operations, or related field
3+ years of experience in procurement, vendor coordination, rental operations, or supply chain roles
experience in equipment rentals, project‑based environments, or event/production industries is a plus
strong proficiency in microsoft excel and ms office tools
experience working with erp systems or inventory databases preferred
strong written and verbal english communication skills

work expectations

full‑time remote position
must maintain consistent overlap with us eastern time working hours
schedule: 7:00 am – 4:00 pm est
