*summary*:
an office based 7-days per week shift based role that provides personal assistance to customers as it relates to the daily deliverance of the company’s products and services by performing the following duties
*additional essential dutties and responsabilities for senior role*:
- legal document management for the region, mex and cenam, this applies for specific tasks, which they are agreements, contracts, poa’s, working along with each lawyer in each country with specifics procedures, and providing, and working along with the legal team from our hq in miami.
- operational permits, mex, bze, sal, sap, mga, pty. Renewals for the operational permits in the region, each country provides different validity for the operational permit, so it requires to track each operational permit expiration date and start the procedure of renewing it at least 3 months before expiration.
- adding aircraft to the fleet, this requires working along with legal from each country and miami, and with operations in miami. Each country in our region has different procedures and requires different paperwork (some requires more documentation than others, some requires translations) on each country, and the average time to getting a registration added to the fleet in all our region is around 4 months. Some countries are faster than others.
- updating contracts between amerijet mexico, central america and third parties.
- organizing the logistics of courses, and trainings for staff
- expenses reports on travels in our region, working along with accountants in our mid corporate offices
- collect invoices and submit for payment requests for providers, or services needed in our local offices.
- generation of bank folios payment of taxes and payroll as well as authorization payments to suppliers via internet.
- administrative assignments, file important documents, provide help to our regional director on organizing documents, reunions, organizational charts, and events.
- collect invoices from authorized monthly payments on corporate american express card, regional director as cardholder.
- occasionally, when necessary, miami requests help with translations.
- coordinate guidelines and reports and procedures stablished by the headquarters for the fulfillment of specific requirements and solution of problems that require the attention of miami personnel
*essential duties and responsibilities*:
include the following, but not limited to:
- load control proficiency and must be able to work with the aged receivable team.
- as a tracing agent, traces and resolves missing shipments, documents and other service failures. by liaising with operations and commercial across our network to get all the required information to provide to our customers.
- working with the accounts receivable & accounts payable teams as needed to investigate accounting discrepancies on awbs and invoices and correct as needed.
- builds and strengthens customer loyalty by continually meeting and exceeding customers’ expectations.
- presents a pleasant and positive attitude when responding to inquiries.
- responds to internal and external customer inquiries regarding the company’s products and services.
- assist customers, domestic stations, international stations as well as internal staff in the facilitation of transportation solutions, whether air or truck, or development of other service needs.
- work with operations, as well as partners to develop programs which will enhance service to clients.
- provide air/interline/trucking quotes as necessary.
- provide specialized pricing such as spot rates, special commodities, and oversized freight rate quotations.
- provides customers with timely and accurate shipment tracking information.
- facilitates resolution of individual occurrences of shipping discrepancies and problems.
- provides rating information for customers on standard freight shipments, and routes specialty pricing to appropriate parties.
- maintains real-time knowledge of the company’s products, services, rates and operational circumstances relating to customer service.
- initiates contact with customers whose shipments will be delayed or re-routed due to operational constraints and providing acceptable alternatives.
- displays a personal commitment toward customers’ satisfaction by maintaining direct contact with each customer until fulfillment of their request.
- if assigned as a tracing agent, traces and resolves missing shipments, documents and other service failures by performing, among other duties, physical checks of the local bonded freight facility. Will be able to be office based and work to an agreed 7-day roster.
