Position overview we are seeking a project manager (study abroad) to join the institutional partnership management team. This role is critical in organizing and executing short-term educational travel programs for schools and universities. The program manager will oversee all logistical aspects, from budgeting and vendor communication to on-the-ground coordination and post-program reporting. This role requires balancing multiple stakeholders, faculty, students, institutional partners, and global suppliers while ensuring every program runs smoothly and safely. Key responsibilities program logistics & management develop and manage detailed itineraries, reservations, and budgets for educational travel programs. Book hotels, transportation, activities, and guest lectures while ensuring safety, quality, and cost-effectiveness. Coordinate with on-ground providers and international partners to align program delivery with client expectations. Track all reservations, contracts, insurance certificates, and program documentation. Manage budgets using google sheets; process invoices, payments, and receipts. Support program bidding and rfp processes as needed. Maintain detailed program folders, logs, and crm records. Customer service & communication communicate professionally with institutional partners, faculty, students, parents, and vendors. Provide proactive updates before, during, and after programs. Serve as the point of contact for emergencies, including medical issues, travel disruptions, or other urgent needs. Organize and host virtual orientation sessions with faculty and participants. Work closely with lead institutional partnership managers, on-ground partners, and the sales team. Use asana and hubspot for task, communication, and workflow management. Shadow senior staff and participate in ongoing training to learn internal processes. Collect evaluations and feedback from participants and faculty. Conduct post-program reporting and analysis to identify areas for improvement. Required qualifications fluent english (c1/c2 level) – written and spoken. Strong proficiency with google suite (sheets, docs, slides) and crm/project tools (asana, hubspot). 2 years of experience in travel coordination, study abroad, or program/project management. Ability to read, manage, and interpret budgets. Strong organizational skills with the ability to manage multiple programs simultaneously. Detail-oriented, proactive, and calm under pressure, with strong problem-solving skills. Preferred qualifications previous experience in international education, study abroad, or travel agency operations. Familiarity with u.s. higher education institutions. Experience working with budgets, contracts, and vendor negotiation. Knowledge of global geography and international travel logistics. Additional languages (spanish, french, etc.) are a strong plus. Prior experience studying, traveling, or living abroad. Schedule: part-time (20 hours/week), flexible start in september. Growth: potential for full-time role in january 2026.
