Who We're Looking For:
We are seeking a highly organized and professional Administrative Assistant to join our team in Monterrey. This individual will provide critical day-to-day support to our leadership and staff while helping to ensure the efficient operation of our firm.
Key Responsibilities:
- Answer and direct telephone calls
- Manage and log all shipping and receiving of drawings and parcels
- Perform accurate data entry and maintain various internal records
- Track staff attendance and assist with timesheet documentation
- Manage calendars and assist with meeting scheduling
- Help coordinate and set up for office and client meetings
- Take and distribute clear, organized meeting notes
- Assist staff with travel arrangements and process travel reimbursements
- Perform credit card receipt reconciliation and reporting
- Sort and distribute incoming mail, shipments, and courier deliveries
- Scan, file, and organize both digital and hard-copy documents
- Oversee maintenance and replacement of office equipment (i.e. printers, copiers, faxes, AV systems) and coordinate office supply inventory
- Assist with the planning and execution of internal meetings and special events
- Support general office upkeep and presentation to ensure a professional work environment
Qualifications:
- Minimum 3 years of administrative experience in a professional office setting
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
- Proficiency in Mac/Apple related products and related office software
- Exceptional organizational, communication, and time management skills
- Detail-oriented with a proactive and solution oriented approach
- Ability to handle sensitive information with discretion and professionalism
- Ability to multitask and work independently
