about the role
this is a hands-on accounts payable coordinator role focused on supporting day-to-day ap operations, vendor management, expense processing, and month-end close activities in a high-growth international logistics environment.
you'll be an important partner to accounting and operations, helping keep vendor records accurate, invoices moving, expenses coded correctly, and ap close activities organized and on schedule.
what you'll do
manage the ap inbox and respond to vendor inquiries
process invoices, credit memos, employee expenses, and bank transaction coding accurately and in accordance with company policies
handle remittance requests and resolve vendor payment discrepancies
review vendor statements, reconcile balances, and assist with resolving outstanding items
maintain vendor master data and support vendor onboarding activities
collect and track w-9s and other tax documentation; assist with annual 1099 reporting
ensure invoices and expenses are recorded accurately and in the proper accounting period
perform account reconciliations and support month-end ap close activities, including accruals and ap-related reporting
itemize and process freight invoices
partner with accounting, operations, and other internal teams to resolve billing and vendor-related issues
support process improvements, documentation, and sop development
assist with ap automation, system implementations, and accounting system migrations
about you
bachelor's degree in accounting, finance, or a related field preferred
3–5 years of accounts payable or related accounting experience with a u. S.-based company
knowledge of u. S. accounting principles and accounts payable best practices
experience managing vendor communications, onboarding, and issue resolution
strong attention to detail, accuracy, and organizational skills
experience working with large datasets and performing data analysis
advanced proficiency in excel and/or google sheets
experience with quick books online,, ramp, salesforce, tableau, net suite, tipalti, or similar platforms
strong communication and problem-solving skills
ability to manage multiple priorities and meet deadlines in a remote, fast-paced environment
fluent english communication skills, both written and verbal
experience in logistics, freight, shipping, or transportation industries preferred
experience supporting ap automation, erp, or accounting system migrations preferred
familiarity with ai tools and process automation preferred
experience creating and maintaining process documentation and sops preferred
