Are you detail-oriented, fluent in english, and skilled at keeping teams, projects, and systems organized?

we're a u.s.-based digital marketing agency looking for an operations & project coordinator to work directly with our ceo. In this role, you'll ensure client services are delivered on time, internal systems run smoothly, and new hires are properly onboarded and supported.

this is a remote role (based in mexico) with daily interaction in english. You'll help manage operations, support the leadership team, and make sure no detail falls through the cracks.

what you'll do

* track all client services and deliverables to ensure deadlines are met.
* oversee technicians and remote team members to confirm tasks are completed properly.
* maintain service schedules, monitor progress, and escalate delays when needed.
* support new hire onboarding and assist with training where needed.
* help set up systems, workflows, and tools to improve efficiency.
* keep documents, contracts, and sops organized and updated.
* manage invoicing and payment processing.
* maintain accurate crm data (gohighlevel, zoho, hubspot, or similar).
* provide professional client support to ensure smooth delivery and a "white-glove" experience.

what we're looking for

* excellent english (written and spoken) – near-native fluency is required.
* strong background in operations, project coordination, or admin support.
* proven ability to keep services, projects, and people on schedule.
* proactive problem solver – you catch issues early and resolve them quickly.
* highly organized – you can manage documents, contracts, and invoices with precision.
* comfortable with project management tools (asana, clickup, jira, monday).
* experience with crms (gohighlevel preferred).
* proficiency with microsoft office and google workspace.
