primary function
manages and routes documents received via fax server, analyzing each document and routing to the intended recipient based on the information provided, following specific instructions as outlined.
supervisory responsibilities
supervises document processing coordinators to include evaluating and completing annual evaluations.
instructs team in methods or procedures needed to carry out their job as well as make work assignments.
responsible for overseeing staffing for all regions to include hiring, training, and coaching.
essential functions of the job
runs reports and reviews daily documents such as medical records, lab results, consultation notes, prescription refills, physician orders, and any other communication received through the document management application, evaluates volume and prioritizes documents for each pa office daily and logs in the microsoft teams worklist accurately.
delegates and communicates work assignments via microsoft teams to document processing coordinators.
follows pediatric associates established procedures to index, upload and route documents appropriately.
follows up by sending notifications to the practice managers on documents pending signatures.
effectively communicate issues and collaborates with practice managers, team leads, it support and other departmental leads regarding resolutions.
makes recommendations for procedure and/or workflow changes.
performs all supervisory responsibilities to include: hiring, coaching, appraising, rewarding and retaining department staff; assess staff productivity; motivates and mentors team members; leads onboarding, training, and development for newly hired staff.
oversees daily coverage needs for team, including managing timecards in adp, reviewing pto requests, attendance and overtime.

oversees and ensures documents are processed within a certain time frame as required per policy.
adhere to all organizational information security policies and protect all sensitive information including but not limited to ephi and phi in accordance with organizational policy, federal, state, and local regulations.

minimum 3 years of experience in document processing required.
minimum 1 year of experience as a document processing coordinator within pa preferred.
previous healthcare experience preferred.

must have the ability to read and identify documents such as medical records, lab results, consultation notes, prescription refills, physician orders, and any other communication received as a document.
ability to build an effective customer-focused team and has experience leading a team to meet customer expectations.
ability to engage, motivate and documentation representatives
must have excellent interpersonal skills, written and verbal
strong analytical skills, ability to extract, compile and analyze data
strong knowledge of excel and microsoft applications.
