position overview
we are seeking a detail-oriented hr coordinator, payroll processor & corporate ap professional to join our finance team at our guadalajara, mexico office, supporting us operations.
you will be responsible for corporate accounts payable, maintaining corporate internal books, processing office bills, and managing end-to-end hr/payroll administration in partnership with our paychex peo provider. This position reports directly to the vp of finance and works closely with the full finance team.
key responsibilitiescorporate finance & accounts payable
• maintain and reconcile corporate internal books every month
• process, code, and pay corporate accounts payable, including office rent, vendor invoices, and recurring bills
• record bills, expenses, and ap transactions in quickbooks accurately and on schedule
• manage corporate bill pay cycles (5th and 20th of each month)
• reconcile vendor statements and resolve payment discrepancies
• support month-end and year-end close processes for corporate entities
• assist with documentation and record-keeping for audits and tax filings as needed
hr & payroll administration
• process semi-monthly payroll: collect and transfer timekeeping data to payroll system and record payroll entries in quickbooks
• review/approve pto balances
• manage new hire onboarding paperwork and termination/offboarding documentation
• administer benefits enrollment, changes, and 401(k) plan coordination
• file workers' compensation reports and support audits
• serve as first point of contact for basic employee questions regarding payroll, pto, and benefits
• route all complex hr compliance, employment law, and advisory matters to paychex peo
general
• collaborate with the vp of finance and assistant controller on projects
• maintain organized digital filing systems for corporate accounting and hr records
• identify process improvements and flag discrepancies proactively
required qualifications
• 3+ years of experience in accounting, accounts payable, bookkeeping, or a combined accounting/hr role
• proficiency in quickbooks (online or desktop) for recording transactions, bills, ap entries, and payroll
• bilingual fluency in english and spanish (written and spoken) — daily communication is in english
• familiarity with us payroll concepts including federal/state tax withholdings, w-2s, *s, pto accruals, and benefits administration
• strong organizational skills with the ability to manage recurring deadlines across multiple entities
• high attention to detail and accuracy in data entry and reconciliation
• comfortable working in an office environment and collaborating with a distributed us-based team
• ability to work during us business hours (pacific overlap preferred)
preferred qualifications
• experience supporting us-based real estate, property management operations
• familiarity with peo platforms (paychex, adp, or similar) for payroll and hr administration
• experience with multi-entity or multi-state accounting environments
• associate's or bachelor's degree in accounting, finance, business administration, or related field
