*your day-to-day*:

- *front-line ambassador*:
greet visitors warmly, ensuring a positive first impression.
- *calendar & meeting management*:
manage executives' calendars, schedule and confirm meetings, and resolve conflicts. Ensure all details are included in google calendar (zoom, room, coworking).
- *communication & coordination*:
handle internal/external communications, notify attendees of any changes, and confirm availability for meetings.
- *travel arrangements*:
book flights, hotels, and transfers. Organize itineraries and upload travel details to expensify.
- *food & beverage management*:
organize catering, coffee breaks, and food orders through internal tools and vendor coordination.
- *expense management*:
collect and submit receipts, review direct report expenses, and track budgets for travel and events.
- *vendor & event logistics*:
coordinate with vendors for transport, meetings, and events. Manage logistics for offsites and onsite events.
- *file & records management*:
organize and maintain important files and documents.
- *special projects & support*:
assist with ad-hoc projects, cultural activities, and engagement events.
- *client experience*:
plan and organize client-related meetings, meals, and events, including transportation and logistics.
- *administrative support*:
provide support for executive meetings, document preparation, and communication.
- *travel & entertainment reimbursement*:process travel and entertainment expense reimbursements, ensuring proper documentation.

- 3+ years of professional experience working as an executive assistant or in a similar role.
- fluent in both english and spanish, with outstanding verbal and written communication skills in both languages.
