*location*: guadalajara, jalisco (100% on-site)*base salary*: $15,000 mxn / month + benefits*about the role*asc global is looking for a highly organized *administrative assistant* to streamline our office operations in guadalajara.this role is the backbone of our workflow, ensuring that billing is accurate, invoices are tracked, and the procurement process for office and operational needs runs smoothly.you will be a key support figure for both the sales and management teams.
*what you'll be doing*- *billing & invoicing*: manage the end-to-end invoicing process, ensuring all sales documentation is accurate and delivered to clients on time.
- *procurement support*: handle the procurement process for office supplies and services, including vendor selection, purchase orders, and price negotiations.
- *documentation control*: maintain organized physical and digital records of contracts, vendor agreements, and internal administrative files.
- *accounts receivable support*: follow up with clients regarding outstanding invoices to ensure timely collections.
- *office coordination*: manage daily administrative tasks, including scheduling, mail handling, and general office maintenance oversight.
- *reporting*: prepare basic administrative reports on spending and billing status for the leadership team.
*what we're looking for*- *proven experience*: at least 2 years in administrative roles with a strong focus on *billing (facturación)* and *procurement (compras)*.
- *organizational skills*: exceptional ability to multitask and prioritize in a fast-paced sales environment.
- *technical proficiency*: solid command of microsoft office (excel is a must) and experience with administrative/erp software.
- *language skills*: intermediate english (professional reading and writing).
- *proactive attitude*: a problem-solver who can anticipate office needs and improve existing administrative processes.
