Overview
the travel, entertainment, and credit card administrator is responsible for managing the organization's corporate travel, expenses, and credit card programs. This includes administering the navan travel management system, overseeing corporate credit card issuance and usage, ensuring compliance with company policies, and providing support to employees.
responsibilities
* administer and maintain the navan travel and expense management system.
* configure system settings, workflows, and user roles to align with company policies.
* provide training and support to employees on using the navan platform and proper credit card usage.
* monitor system performance and troubleshoot issues in collaboration with it and navan support.
* ensure compliance with corporate travel, entertainment, and credit card policies.
* generate and analyze reports on travel, expense, and credit card data to identify trends and opportunities for cost savings.
* coordinate with finance, hr, and procurement teams to ensure accurate data integration and reporting.
* manage user access, onboarding, and offboarding within the navan system.
* stay updated on new features and updates from navan and implement them as appropriate.
* support audits and provide documentation related to travel, expense, and credit card activities.
* administer the company's corporate credit card program, including issuing new cards, setting limits, and deactivating cards as needed.
* monitor credit card usage to ensure compliance with company policies and procedures.
* reconcile credit card transactions and ensure timely submission of receipts and expense reports.
* serve as the primary point of contact for cardholders regarding card usage, disputes, and policy questions.
* work with the finance team to ensure accurate coding and posting of credit card transactions.
* generate and distribute monthly credit card statements and reports.
* assist in the development and enforcement of credit card policies and procedures.
* identify and investigate any unusual or unauthorized transactions.
* collaborate with vendors and the credit card provider to resolve issues and optimize the program.
qualifications
* bachelor's degree in business administration, finance, information systems, or related field.
* 2+ years of experience administering travel and expense systems, preferably navan, or in accounting, finance, or administrative roles.
* strong understanding of corporate travel, entertainment, and credit card policies and procedures.
* proficiency in microsoft excel and experience with data analysis and reporting.
* experience with accounting software (e.g., infor m3, concur).
* experience working with cross-functional teams and external vendors.
* experience with navan system administration and configuration.
* familiarity with expense management integrations (e.g., erp, hris, tmc).
* knowledge of compliance and audit requirements related to t&e and credit card programs.
* project management experience in system implementation or upgrades.
* experience with expense management systems (e.g., concur).
* familiarity with internal controls and audit processes.
* knowledge of corporate credit card best practices and compliance standards.
