The mission of this position is to provide comprehensive administrative support in an international multicultural or non-profit environment. As a key member of the team, you will be responsible for ensuring smooth program operations and building strong partnerships.
key responsibilities
* financial administration: prepare and manage financial reports, process prepayments, and support scientists with expense processing requisitions and financial documentation.
* event coordination: support program events, meetings, conferences, and workshops by sending invitations, managing communications with participants, arranging logistics, and facilitating reimbursement of participant expenses.
* travel management: make travel reservations and arrange transport, airfare, and accommodation for assigned teams.
* procurement coordination: raise capex requisitions and monitor progress in line with procurement processes.
* germplasm logistics: process standard material transfer agreements (smtas), manage dhl shipments, and liaise with procurement for related processes.
* grants management: upload subgrant agreements and maintain a subgrants tracker to ensure proper monitoring and follow-up.
* knowledge management: upload critical project information into institutional systems and support the program manager in tracking milestones and deliverables.
* program support: assist in meeting coordination, documentation, and follow-up actions, and rotate tasks within the admin team to ensure coverage and resilience.
requirements
* bachelor's degree in business administration, management, public administration, international development, project management, finance, accounting, agricultural economics, agribusiness, supply chain/logistics management, environmental science, agriculture, crop science, or related fields.
* advanced degree (master's) in any of the above fields is an advantage.
* 3-5 years of experience providing comprehensive administrative support in an international multicultural or non-profit environment.
* excellent organizational skills, including time management, resource management, prioritization, coordination, and communication.
* proficiently use microsoft office word, excel, powerpoint, outlook, and other relevant software.
* familiarity with microsoft dynamics 365 will be an advantage.
* exposure to agricultural research, international development, familiarity with international organizations/ngo sector, multicultural.
* advanced level of english written and conversational english, c1 cefr minimum.
