we are seeking a detail-oriented, bilingual (english and spanish) assistant office manager to support our daily operations. Reporting directly to the office manager, this position serves as a central point of coordination between the management team, field crews, clients, and billing systems. The role requires exceptional follow-through, strong quantitative ability, and meticulous attention to detail.

This individual must be a self-starter who can effectively manage competing priorities while ensuring leadership remains organized, informed, and on track.
core responsibilities
* help with customer communication, including via telephone calls, emails and text messages
* help manage daily scheduling updates by utilizing company software and communicating with field crews as needed
* input clear instructions into our software for specific landscaping tasks (instruction will also be sent to crews via text)
* track projects and ensure proper accounting and billing for customers
* manage and update calendar for management team
* help manage customer invoicing and collections for maintenance and projects
software & systems
* microsoft outlook (email, calendar, task management)
* microsoft excel (advanced spreadsheet usage and data tracking)
* slack (for internal communication)
* company crm, scheduling & billing system
requirements:
* excellent written and verbal english and spanish communication skills; most communication will be conducted in english, while spanish will be used as well
* ability to work u.s. Et hours from 8am–5pm with a 1-hour lunch break (m–f)
* role will require the monitoring of emails, phone calls and text messages after hours and responding only as necessary for mission critical items
* ability to learn and manage complex scheduling and invoicing software
* proven ability to manage multiple priorities in a fast-paced environment
* self-starter with strong ownership, accountability, and follow-through
* confident communicator comfortable picking up the phone to drive results
preferred qualifications
* experience with invoicing, billing systems, or revenue operations
* background in office management, executive assistance, or operations roles
* experience working in a small or mid-sized company environment (experience working with a landscaping company and experience with lmn or aspire is a plus, but not required)
