Job overview

we are seeking a detail-oriented and proactive executive assistant & sales associate to join our growing team in miami (est). This role is unique and requires a fast thinker and dynamic individual: it blends administrative support with sales lead management and order processing. You will be responsible for support on projects, ensuring our inventory is tracked, and our sales pipeline is consistently moving forward.

we operate three businesses — a cleaning company, a property management firm, and a plaster distribution company — so the right candidate will be versatile, analytical, and confident handling multiple priorities. You will work closely with our leadership for support but will oversee the sales funnel from lead follow-up through order close.

key responsibilities

* sales & crm management: manage incoming sales leads in go high level crm; follow up daily via email, sms, whatsapp, and social media dms (all tracked in crm). Progress leads through to the quoting stage and actively works to close orders.
* quote & order preparation: prepare quotes in quickbooks, calculate freight, and ensure all details are accurate before submission to clients. Coordinate order processing and maintain clear communication with prospects.
* inventory tracking: monitor product stock levels, reconcile with sales orders, and flag restocking needs.
* reporting & administration: provide monthly reports to management, type correspondence and reports accurately, and support leadership with ad-hoc projects and administrative support.

qualifications

* must be fully bilingual in english and spanish
* quickbooks experience,, slack, google suite, canva
* proven sales support and crm experience (go high level preferred).
* analytical mindset with the ability to balance numbers and sales.
* highly responsive, organized, and reliable with excellent english communication skills (written and verbal).
* comfortable working across multiple businesses simultaneously.
* strong internet connection required.
* admin, sales and customer service experience preferred

compensation & schedule

* compensation: $600/month
* schedule: monday–friday, 10 am–4 pm est (miami-based team) fully remote role.
* benefits: 10 days paid time off, referral program, holiday bonus eligible

pay: $11,258.00 per month
