Seeking a proactive administrative & accounting assistant with advanced english skills (c1) and proven experience in quickbooks. The ideal candidate will bridge the gap between general administration and financial operations, ensuring accurate record-keeping, efficient supplier management, and seamless bilingual communication.
Key responsibilities
financial support & quickbooks management: process invoices, record bills, and monitor accounts payable/receivable directly in quickbooks. Assist in bank reconciliations and ensure all transactions are properly categorized.
Purchasing & logistics: source products, negotiate terms with suppliers, and manage freight costs to optimize the budget.
Data management: maintain accurate digital and physical archives, ensuring that all financial data in quickbooks matches supporting documentation.
Reporting: generate and present detailed weekly and monthly reports (profit & loss, cash flow, and expense reports) using quickbooks and excel.
Bilingual communication: act as the primary point of contact for english and spanish‑speaking clients and suppliers regarding billing, payments, and general inquiries.
Record‑keeping: maintain updated employee files and ensure compliance with internal administrative policies.
Client & colleague service: provide high-quality internal and external support, fostering professional relationships.
Candidate requirements
education: bachelor’s degree in accounting, finance, administration, or international business.
Experience: 3–5 years in administrative‑accounting roles with hands‑on experience using quickbooks (desktop or online version).
Language: c1 english proficiency (essential for technical communication and negotiation).
Technical skills: advanced quickbooks user, proficient in microsoft office (strong excel skills for pivot tables and data analysis).
Competencies: high attention to detail, strong organizational skills, and ethical handling of confidential financial information.
