The accounts payable specialist is responsible for: preparation of accurate, timely, and compliant payments for all communities, support center, and the lifespace foundation; and answering inquiries from team members and vendors.
essential job functions:
1. review invoice information in the accounts payable system to ensure accuracy, proper review, and timely payment.
2. verify, process, and record invoices in the accounting system, ensuring they match purchase orders and receipts, and are submitted for approval.
3. monitor payments to prevent delays and penalties; process payments and safeguard organizational assets.
4. reconcile accounts to identify and resolve discrepancies and outstanding balances.
5. collaborate with procurement to maintain vendor profiles, strengthen vendor relationships, and resolve disputes efficiently.
6. maintain excellent communication skills; work closely with management, team members, and vendors on payment inquiries.
7. follow documented processes; handle issues as they arise and escalate when necessary.
8. organize, secure, and file accounts payable documents.
9. assist in preparing irs form 1099 for all locations.
10. prepare correspondence, forms, reports, or other documents to support accounting staff.
11. follow internal controls in accounts payable functions.
12. assist with general accounting data entry and other projects as assigned.
13. communicate professionally with team members, management, residents, and others, fostering a culture of customer service and respect.
14. comply with applicable laws, rules, and regulations; stay informed of company policies and procedures.
15. demonstrate understanding of living lifespace principles, person-directed care, and core values such as respect, compassion, and teamwork.
16. maintain punctuality and regular attendance at work and meetings.
requirements:
1. associate degree in accounting or finance, or equivalent two years of accounts payable experience.
2. preferred experience with coupa, netsuite, and workday.
3. ability to handle confidential information appropriately.
4. excellent organizational, communication, and problem-solving skills.
5. proficiency in computer systems and navigation.
6. self-motivated with the ability to work independently and collaboratively.
