Main objective of the position:
the executive coordinator provides high-level operational, administrative, and organizational support to executive leadership. This role ensures seamless coordination of strategic activities, executive schedules, corporate communications, meetings, and internal/external engagements.
this position plays a key role in maintaining executive productivity, optimizing workflows, protecting confidential information, and representing the executive office with professionalism, discretion, and corporate presence.
key roles and responsibilities:
4.1 executive operations & administrative management:
· coordinate and manage executive calendars, travel logistics, meetings, corporate events, and strategic engagements.
· handle documentation, correspondence, reports, presentations, and executive briefing materials.
· oversee invoice processing, information requests, recordkeeping, and administrative workflows.
· standardize procedures for document management, scheduling, approvals, and communication.
· create templates for recurring tasks (meeting agendas, briefs, reports).
4.2 corporate communication & representation:
· serve as the primary point of contact for internal and external stakeholders interacting with executive leadership.
· draft, review, and manage communications on behalf of the ceo (email, memos, official statements).
· support public-facing activities, including relations with clients, business partners, vendors, and corporate visitors.
4.3 meeting & information management:
· prepare materials, data, agendas, briefs, and follow-up items for executive meetings.
· support tracking of strategic initiatives, deadlines, and deliverables for the ceo.
· follow up with departments/areas to ensure timely completion of assigned tasks.
· maintain status reports for executive visibility.
· maintain organized systems for document control, classification, versioning, and archiving.
4.4 corporate event coordination:
· coordinate executive participation in corporate events, business trips, conferences, and internal or external meetings.
· plan, organize, and oversee logistics, presentations, schedules, and supporting materials for high-visibility activities.
4.5 confidential information & executive support:
· manage sensitive information with absolute confidentiality, professionalism, and discretion.
· support decision-making by providing organized information, timely reminders, and structured updates.
· anticipate executive needs and proactively resolve potential issues before escalation.
4.6 decision support & research
· conduct research on vendors, partners, market opportunities, and industry topics.
· prepare executive summaries to facilitate informed decision-making.
· review contracts, proposals, or key documents to flag relevant points for the ceo.
