Who we're looking for:
we are seeking a highly organized and professional administrative assistant to join our team in monterrey. This individual will provide critical day-to-day support to our leadership and staff while helping to ensure the efficient operation of our firm.
Key responsibilities:
answer and direct telephone calls
manage and log all shipping and receiving of drawings and parcels
perform accurate data entry and maintain various internal records
track staff attendance and assist with timesheet documentation
manage calendars and assist with meeting scheduling
help coordinate and set up for office and client meetings
take and distribute clear, organized meeting notes
assist staff with travel arrangements and process travel reimbursements
perform credit card receipt reconciliation and reporting
sort and distribute incoming mail, shipments, and courier deliveries
scan, file, and organize both digital and hard-copy documents
oversee maintenance and replacement of office equipment (i.e. printers, copiers, faxes, av systems) and coordinate office supply inventory
assist with the planning and execution of internal meetings and special events
support general office upkeep and presentation to ensure a professional work environment
qualifications:
minimum 3 years of administrative experience in a professional office setting
proficiency in microsoft office suite (outlook, word, excel)
proficiency in mac/apple related products and related office software
exceptional organizational, communication, and time management skills
detail-oriented with a proactive and solution oriented approach
ability to handle sensitive information with discretion and professionalism
ability to multitask and work independently
