job summary
the cash application analyst is responsible for accurately applying incoming payments, performing bank reconciliations, and supporting the accounts receivable function through customer communication, remittance processing, and resolution of discrepancies. This role plays a critical part in ensuring timely and accurate financial reporting and supports overall cash flow optimization.
key responsibilities
* process daily cash application of customer payments (checks, ach, wire transfers) to the correct invoices and accounts.
* retrieve and analyze remittance advice from customers to ensure accurate payment application.
* communicate with customers to request missing or unclear remittance information.
* conduct regular bank reconciliations to ensure transactions are accurately recorded and discrepancies are identified/resolved promptly.
* investigate and respond to customer debit backup requests with supporting documentation.
* support month-end close activities, including reconciliation of accounts, reporting, and variance analysis.
* create and post credit and debit memos as needed for adjustments, returns, or billing corrections.
* perform debit and credit clearing transactions to maintain account accuracy.
* follow up with customers regarding returned/bounced payments, such as nsf checks, and arrange for resolution or re-payment.
* provide invoice copies to customers upon request and resolve related inquiries.
* accurately interpret and match complex remittances to corresponding invoices, even when details do not fully align.
* collaborate with internal teams (sales, customer service, billing) to resolve discrepancies, ensure accurate customer account maintenance, and confirm that all required backup documents are received by the customer.
* assist in continuous process improvement initiatives related to cash application and ar workflows.
* support audits as requested, including gathering documentation, responding to inquiries, and ensuring timely follow-up.
* perform other duties and special projects as assigned to support finance and ar operations.
qualifications
required
* associate’s or bachelor’s degree in accounting, finance, or a related field; or equivalent relevant experience.
* 1–3 years of experience in accounts receivable, cash application, or general accounting functions.
* strong knowledge of ar processes, including cash application, bank reconciliations, and credit/debit memos.
* proficiency in microsoft excel, including the use of vlookup, pivot tables, and data manipulation.
* experience with erp/accounting systems (e.g., as 400, oracle, ax, or similar platforms).
* high attention to detail and strong accuracy in financial data entry and reconciliation.
* analytical and problem-solving skills for interpreting remittance data and resolving discrepancies.
* clear written and verbal communication skills, with the ability to interact effectively with customers and internal teams.
* ability to manage multiple priorities and meet deadlines in a fast-paced environment.
preferred
* experience working with lockbox systems or bank portals.
* prior experience supporting internal or external audits.
* familiarity with collections processes or customer account analysis.
* exposure to process improvement or automation tools within ar or finance functions.
