Overall purpose of role
this position is responsible for the efficient functioning and office through a range of administrative, financial and
managerial tasks as well as administrative support for the mexico cao.
key accountabilities
- coordinate and arrange travel including preparing detailed travel itineraries, flight, hotel, and ground
transportation
- liaise with clients, suppliers and their assistants
- process and track expense reports, reconcile credit card statements monthly.
- organize and maintain appointment calendar using ms outlook, schedule meetings and conferences.
- answer, screen and route telephone calls; respond to inquiries, as needed; take and deliver accurate, detailed
messages.
- prepare letters, memoranda and presentations.
- organize client events.
- responsible for planning client’s event, including events & roadshow and creative services.
- management the office access, in coordination with global corporate security being the main contact for
corporate security and coordinates tasks with this team. Responsible for the report and management of access
and security systems to the americas building assurance team.
- management of office facilities (services, supplies, insurances policies, newspapers management, petty cash
administration).
- coordination for the administration of the insurance for the office and company car insurance.
