this role is ideal for someone who thrives in fast-paced environments, excels at logistics and coordination, and is comfortable managing multiple moving parts across different countries and time zones.this is an urgent hire and will play a key role in reducing operational load by owning end-to-end event coordination.responsibilitiesown end-to-end planning and execution of company and client events across multiple locationsmanage all event logistics including venue sourcing, vendor selection, contracts, travel, accommodation, schedules, and budgetsact as the primary point of contact for all event-related coordination, ensuring clear communication with internal stakeholders and external partnerscoordinate international travel logistics for attendees, speakers, and team membersbuild and manage detailed event timelines, run-of-show documents, and contingency planshandle on-the-ground event execution, including last-minute changes, troubleshooting, and real-time decision-makingtrack budgets, invoices, and payments related to events and vendorsensure events align with brand standards, objectives, and overall experience expectationsconduct post-event wrap-ups including feedback collection, learnings, and reportingsupport ad-hoc coordination tasks related to marketing activations, community events, or offsites as neededqualifications 2+ years of experience in event management, event coordination, or project coordinationexperience managing international or multi-location eventsmust have a valid passportmust be able to travel to the united states, canada, and europethere are no existing issues related to the applicant's ability to apply for a visa.prior work with remote or distributed teamsstrong vendor management experience (venues, suppliers, agencies, freelancers)familiarity with event budgets, invoicing, and basic financial trackingexperience coordinating travel logistics (flights, accommodations, visas, schedules)background in corporate events, offsites, retreats, conferences, or brand/community activationshighly detail-oriented with strong problem-solving skills under pressurecomfortable working in fast-moving, loosely structured environmentsproficiency with tools such as google workspace, spreadsheets, project management tools (e.g., asana, notion, trello, clickup)based in or familiar with playa del carmen, cancún, or similar event-heavy locations
