This is not a traditional assistant position — this person will take ownership of business operations, systems, administrative execution, hr coordination, and executive-level problem solving.the ideal candidate anticipates needs, eliminates roadblocks, cuts through bureaucracy, and drives execution as a trusted extension of leadership.key responsibilitiesexecutive support (strategic + tactical)manage executive calendar, email triage, and communications with discretiondraft professional documents, executive emails, and reportsanticipate needs and proactively solve issues with minimal directionprovide structured daily and weekly updatesbusiness operations & administrationcreate and optimize processes, workflows, and sopsmanage vendors, contracts, and service agreementsimplement and manage systems (crm, notion, slack, google drive, or equivalents)coordinate light finance tasks (invoicing, expense tracking, budgeting inputs)own and drive special projects end-to-endhr & people operationscoordinate onboarding and offboardingsupport payroll and benefits logisticsmaintain policy documentationschedule interviews and manage employee administrative tasksproblem solving & executionwork directly with internal team members, vendors, and partnersclarify ambiguity and remove inefficienciesexecute tasks independently within scopeescalate major strategic decisions appropriatelydecision authority & boundariesmajor decisions and sharing of sensitive company information require executive approvalcandidate is empowered to make operational and administrative decisions independently within defined scopecommunication expectationsdaily communication via whatsapp and callsstructured daily and weekly updatesmust communicate clearly and proactively, even when direction is ambiguousideal candidate profilepolished, corporate presence with strong executive maturityprior experience in operations, business administration, or project managementthrives in fast-paced, high-expectation environmentsproactive, decisive, and thinks multiple steps aheaddirect communicator who can respectfully push backcomfortable handling ambiguity and shifting prioritieshighly discreet and trustworthyapplication requirementscv must be submitted in englishresume must be free of grammatical errors and professionally writtencandidates can be based anywhere in latamsuccess metrics (first 6 months)founder is fully freed from daily administrative, operational, and hr tasksbusiness runs smoothly without micro-managementneeds are anticipated and resolved proactivelycandidate becomes a trusted extension of leadershipoperational bureaucracy is reduced and efficiency improved
