about the role
we are hiring a senior-level executive assistant to support a u.s.-based executive. This role is designed for someone who has already worked closely with international leaders, understands u.s. business norms, and knows how to operate with judgment, urgency, and discretion.
this is not an entry-level ea role and not a task-by-task instruction role. You will act as a strategic right hand — fully present during working hours, leading calendar and travel decisions, and helping the executive stay focused on what actually matters.
you are expected to guide, not just comply. You will protect time, challenge poor priorities, and take ownership of outcomes. If you have supported u.s. or globally based executives before and are comfortable operating independently, this role will feel familiar and rewarding.
core responsibilitiesexecutive & calendar leadership (primary)
* own and manage the executive's calendar across business and personal commitments
* make judgment calls on scheduling, priorities, and conflicts
* push back on meetings or commitments that are misaligned or unnecessary
* ensure the executive is prepared for meetings with context, agendas, and reminders
* act as the gatekeeper for time and attention
travel planning & logistics (heavy)
* lead end-to-end travel planning for domestic and international trips
* research, compare, and present flight options with clear recommendations
* book, modify, and cancel flights and accommodations proactively
* coordinate hotels, apartments, ground transport, and travel logistics
* handle last-minute changes calmly and decisively
communication & executive support
* draft, manage, and triage professional emails and messages
* surface urgent issues and decisions that require executive attention
* summarise complex information clearly and concisely
* communicate confidently, including when providing pushback or alternative solutions
finance & business operations support
* support payroll preparation and follow-up
* assist with invoicing clients and tracking payment status
* maintain expense records and basic financial reporting
* work with quickbooks or similar accounting tools
* prepare and review simple agreements, documents, and internal memos
ownership & follow-through
* track open items and ensure nothing stalls or gets dropped
* verify information before presenting it
* identify risks, bottlenecks, and upcoming issues before they escalate
* take responsibility for execution, not just task completion
what success looks like
* the executive's calendar is intentional, protected, and well-managed
* travel runs smoothly, even when plans change
* decisions are faster because information is organised and pre-digested
* payroll, invoicing, and expenses are handled accurately and on time

required experience & qualifications
* 4+ years of experience as an executive assistant or senior administrative professional
* direct experience supporting u.s.-based or international executives
* strong understanding of u.s. business culture and expectations
* advanced calendar and travel management experience
* experience supporting finance-related tasks such as payroll, invoicing, or bookkeeping
* working knowledge of quickbooks or similar accounting platforms
* excellent written and spoken english
* high discretion, reliability, and attention to detail
* stable internet and power for full-time remote work
