Job opportunity: office administrador coordinator company: leading automotive financing sector firm are you a highly organized and proactive professional with a strong background in administration, facilities management, and process optimization? We are seeking an administrative and facilities coordinator to join our team and ensure the smooth and efficient operation of our administrative and physical resources. key responsibilities: general administration & leadership: supervise daily administrative operations to ensure maximum efficiency.oversee and support the administrative staff, fostering their development.propose and implement continuous improvements in administrative processes, optimizing resources and time.coordinate the documentation of administrative processes and material asset management. facilities & resource management (specific): supervise the acquisition of supplies and services.coordinate the inventory control of material assets and supplies.oversee the timely allocation and distribution of material resources.coordinate the execution of preventive maintenance activities and minor repairs.act as the liaison and facilitator with administrators of company-leased facilities.actively participate in the organization of events such as internal meetings, commercial partner events, and corporate events.on demand: assist with accommodation management for company executives. financial & vendor management (specific): coordinate budget management, weekly expense planning, and ensure control of administrative expenses.coordinate the efficient and timely execution of payments to vendors according to contracted terms.ensure thorough follow-up on vendor relations, promptly addressing any needs for formalization or modification of the commercial relationship.supervise the assignment, use, and control of corporate expense cards for the internal sales force.supervise the assignment, use, and control of gas expense cards for the internal sales force.supervise the commission payment process for the external sales force. compliance, security & assets (specific): supervise the assignment, use, and control of telephone equipment within the company.coordinate with the selected provider the development, implementation, and follow-up of the company's internal civil protection program.coordinate the management of company cars with the selected provider.oversee the management of access (vehicular and pedestrian) to the company's offices for internal staff, visitors, and vendors. requirements: proven experience in administrative coordination, facilities management, or a similar role.strong financial acumen and experience with budget and expense control.excellent negotiation, communication, and vendor management skills.demonstrated ability to supervise and develop administrative personnel.proficiency in process documentation and optimization.
