Project manager -business academy (elearning)

ABOUT OUR CLIENT

It operates as an educational ecosystem transforming the home services industry through education and business development. Their core belief is that creating better customers for the overall ecosystem starts with better education. The Business Academy is a critical component of our customer journey architecture, helping technicians transition from service providers to successful business owners.


THE ROLE

This is a "get it done" position. You are the person who makes sure nothing falls through the cracks. While the Program Manager focuses on strategy, financials, and KPIs, you focus on execution excellence. You gather data, organize systems, coordinate contractors, and ensure seamless delivery of every program component.


Think of yourself as the conductor of an orchestra where the Program Manager wrote the music, but you ensure every musician plays their part at exactly the right time.


CORE RESPONSIBILITIES


Program Operations & Execution (40%)

* Ensure all program milestones and deliverables are completed on schedule
* Coordinate between sales, marketing, customer service, and coaching teams
* Work closely with the hiring manager to find SMEs for the program
* Manage day-to-day logistics for student onboarding and program delivery
* Track completion of all curriculum modules and student progress
* Maintain program documentation and standard operating procedures
* Coordinate scheduling for group coaching calls, workshops, and events


Data Collection & Reporting (25%)

* Gather and organize data for Program Manager's strategic analysis
* Track student engagement metrics, completion rates, and satisfaction scores
* Maintain databases of student information, contractor performance, and program assets
* Create regular status reports showing project progress against timelines
* Compile feedback from students and coaches for program improvement
* Monitor key operational metrics (not financial KPIs - that's Program Manager territory)


Quality Assurance & Process Management (20%)

* Ensure all program materials are delivered according to quality standards
* Conduct quality checks on curriculum content, coaching deliverables, and student communications
* Identify operational bottlenecks and flag issues to Program Manager
* Maintain consistency across all program touchpoints
* Document processes and create checklists for recurring operational tasks


Contractor & Vendor Coordination (15%)

* Serve as day-to-day contact for external contractors (coaches, designers, developers)
* Ensure contractors deliver according to scope, timeline, and quality expectations
* Coordinate handoffs between different contractors and team members
* Track contractor deliverables and flag any delays or issues
* Maintain vendor relationships and ensure smooth collaboration



IDEAL CANDIDATE PROFILE


Must-Have Qualifications:

* 3+ years of project management or operations experience
* Exceptional organizational skills with proven ability to manage multiple concurrent projects
* Proficiency with project management tools (Asana, Monday, ClickUp, Trello, or similar)
* Proficiency with remote communication management tools (Slack or similar)
* Proficiency within the Google Suite of products
* Proficiency with community and LMS tools (Circle or similar)
* Strong written and verbal communication skills in English
* Experience coordinating remote teams and external contractors
* Detail-oriented with ability to maintain high standards under pressure
* Comfortable working in fast-paced, entrepreneurial environments


Highly Valued Experience:

* Background in educational program delivery or online course operations
* Experience with learning management systems (TalentLMS, Circle, or similar platforms)
* Familiarity with CRM systems (GoHighL evel preferred) and marketing automation
* Previous work in startup or venture studio environments
* Understanding of customer journey mapping and touchpoint optimization
* Experience in home services, trades, or skilled labor industries


Technical Competencies:

* Google Workspace (Docs, Sheets, Slides, Drive)
* Project management software (ClickUp)
* Basic understanding of LMS platforms
* Communication tools (Slack, Zoom)
* Data organization and reporting
* Process documentation
